Checklist

The checklist keeps every task for your event organised in one place. Whether you prefer a kanban board or a calendar view, DreamPlan makes it easy to track what needs doing, what is in progress, and what is done.

Overview

Every event in DreamPlan comes with a checklist. When you create an event, a pre-built template is loaded automatically based on your event type, giving you a head start. You can add, edit, reorder, and categorise tasks as your plans evolve. The checklist supports a kanban board layout for visual planning and a calendar view for date-based tracking.

Pre-Built Templates

Each event type comes with a starter template so you do not have to build your checklist from scratch.

Tip: Template items are fully editable. Rename them, delete the ones you do not need, and add your own.

Kanban Board Layout

The default view is a kanban board with columns representing task status:

Drag and drop tasks between columns to update their status. The board gives you a clear visual snapshot of your overall progress.

Adding a Task

  1. Click the + Add Task button at the top of any column, or use the Add Task button in the toolbar.
  2. Fill in the task details:
    • Title (required) — a short description of the task, for example “Book florist”.
    • Description (optional) — any additional notes or context.
    • Category (optional) — group related tasks together (see below).
    • Due Date (optional) — when the task needs to be completed by.
  3. Click Save.

The task appears in the To Do column by default.

Editing a Task

  1. Click on any task card to open its detail panel.
  2. Update the title, description, category, or due date.
  3. Click Save to apply your changes.

You can also change the status by dragging the card to a different column, or by selecting a new status in the detail panel.

Marking a Task as Complete

There are two ways to mark a task as done:

  • Drag and drop the task card into the Done column.
  • Click the checkbox on the task card directly.

Completed tasks remain visible in the Done column so you can review what has been accomplished.

Categories

Categories help you group related tasks together. For example, you might have categories like:

  • Venue
  • Catering
  • Decoration
  • Entertainment
  • Stationery
  • Attire

Tasks with the same category are visually tagged with a colour label on the kanban board, making it easy to see clusters of related work.

To assign a category:

  1. Open the task detail panel.
  2. Select a Category from the dropdown or type a new one.
  3. Click Save.

Calendar View

Switch to the calendar view to see your tasks laid out by due date.

  1. Click the Calendar toggle in the toolbar above the board.
  2. Tasks with due dates appear on the calendar on their respective days.
  3. Click any task on the calendar to open its detail panel.

This view is especially useful when you have many deadlines clustered together and need to see the full picture.

Due Date Tracking

Tasks with due dates are colour-coded to help you spot urgent items:

RedThe task is overdue.

Overdue tasks also display a warning icon so they stand out on the board and in the calendar view.

Tip: Set due dates generously — it is better to finish early than to constantly see red overdue warnings.

Tips

  • Start with the template and customise it rather than building from scratch. Even the Wedding template with ~20 items saves significant time.
  • Use categories to group tasks by area (venue, catering, attire) so you can quickly filter and focus.
  • Check the calendar view weekly to see upcoming deadlines at a glance.
  • Break large tasks into smaller ones — instead of “Plan reception”, create separate tasks for venue, catering, music, and decorations.
  • Review the Done column periodically to appreciate how much progress you have made.

FAQ

Can I reorder tasks within a column? Yes. Drag tasks up or down within the same column to set your preferred order.

Can I add tasks without a due date? Absolutely. Due dates are optional. Tasks without a due date will not appear in the calendar view but will show on the kanban board as normal.

Can I create my own columns beyond To Do, In Progress, and Done? The three-column layout is fixed to keep things simple. Use categories and descriptions to add more context to your tasks.

Do templates overwrite my existing tasks if I change event type? No. Changing the event type does not add or remove checklist items. Templates are only applied when the event is first created.

Can collaborators see and edit the checklist? Yes. All collaborators on an event share the same checklist and can add, edit, and complete tasks.

Is there a limit to how many tasks I can add? There is no hard limit. Add as many tasks as you need to stay organised.
