Events

Your events are the heart of DreamPlan. Every guest list, budget, vendor booking, and checklist lives inside an event. This guide covers everything you need to know about creating, managing, and organising your events.

Overview

An event in DreamPlan represents a single occasion you are planning — a wedding, a birthday party, a corporate conference, or anything else. Each event has its own dashboard, guest list, budget, checklist, seating plan, and vendor list, keeping everything neatly separated if you are planning more than one event at a time.

Event Types

DreamPlan supports a range of event types. The type you choose determines which checklist templates, budget categories, and vendor recommendations are available.

Event TypeBest For
WeddingCeremonies, receptions, rehearsal dinners
BirthdayMilestone birthdays, kids’ parties, surprise parties
CorporateConferences, team away-days, product launches
SocialDinner parties, reunions, charity galas
MilestoneAnniversaries, graduations, retirements
CustomAnything that does not fit the categories above

Tip: You can change the event type after creation, but switching types will not remove any data you have already entered — it only affects which templates and recommendations are offered going forward.

Event Statuses

Every event moves through a simple lifecycle:

StatusMeaning
DraftYou are still setting things up. The event is private and not visible to vendors or guests.
ActivePlanning is underway. Vendors can receive enquiries, guests can RSVP, and all features are live.
CompletedThe event has taken place. Data is preserved for reference but editing is limited.
ArchivedThe event is hidden from your main dashboard. You can restore it at any time.

Creating an Event

There are two ways to create a new event.

Option A — The Event Wizard

The wizard walks you through setup one step at a time. This is recommended for first-time users.

  1. Log in to the planner portal at portal.dreamplan.sagargandecha.dev.
  2. Click the Create Event button on your dashboard.
  3. Choose your event type from the list (Wedding, Birthday, Corporate, Social, Milestone, or Custom).
  4. Enter the basic details — event name, date, and location.
  5. Set your budget range (optional) — this pre-populates budget categories for your event type.
  6. Invite collaborators (optional) — add other planners or family members by email.
  7. Review the summary and click Create Event.

Your new event opens in Draft status with a pre-built checklist template matching your event type.

Option B — Quick Start

If you prefer to skip the wizard:

  1. Click the + icon next to “My Events” in the sidebar.
  2. Enter an event name and type.
  3. Click Create.

You will land on an empty event dashboard and can fill in details at your own pace.

The Event Dashboard

Once your event is created, the dashboard gives you a bird’s-eye view of progress.

Dashboard ElementWhat It Shows
Progress RingsVisual rings showing percentage complete for checklist tasks, budget items paid, guests confirmed, and vendors booked.
Detail CardsSummary cards for each area — click any card to jump straight to that section.
Quick ActionsButtons for common tasks: add a guest, create a checklist item, log a payment, send a vendor enquiry.
Upcoming DeadlinesA timeline of your nearest due dates across checklist tasks and payment milestones.

Tip: The progress rings update in real time. They are a great way to see at a glance how much is left to do.

Managing Your Events

Editing Event Details

  1. Open the event from your dashboard.
  2. Click Settings (gear icon) in the top-right corner.
  3. Update the name, date, location, type, or description.
  4. Click Save Changes.

Publishing an Event (Draft to Active)

When you are ready to start inviting guests and contacting vendors:

  1. Open the event.
  2. Click Publish Event in the dashboard banner or in Settings.
  3. Confirm the action.

The status changes from Draft to Active, and features like the public RSVP link and vendor enquiries become available.

Completing an Event

After your event has taken place:

  1. Go to Settings.
  2. Click Mark as Completed.
  3. Confirm.

Completed events remain visible on your dashboard for reference. You can still view all data but most editing is locked.

Archiving an Event

To declutter your dashboard:

  1. Go to Settings.
  2. Click Archive Event.
  3. Confirm.

Archived events disappear from the main dashboard but are accessible under Archived Events in the sidebar. You can restore an archived event at any time.

Planning Multiple Events

DreamPlan supports multiple events simultaneously. Each event is entirely independent — separate guest lists, budgets, vendors, and checklists.

  • Use the sidebar to switch between events.
  • The main dashboard shows summary cards for all active events so you can see which one needs attention.
  • Vendors booked for one event do not automatically carry over to another, but you can add the same vendor to multiple events.

Tip: If you are a professional planner managing events for different clients, create a separate event for each client to keep everything organised.

Tips

  • Start in Draft — take your time setting up the event before publishing. There is no rush.
  • Use the wizard for your first event — it ensures you do not miss any important setup steps.
  • Check your progress rings daily — they highlight areas that are falling behind.
  • Archive rather than delete — archived events preserve all your data in case you need it later.

FAQ

Can I delete an event entirely? You can archive an event to remove it from your dashboard. Full deletion is available in Settings under Danger Zone, but this action is permanent and cannot be undone.

Can I duplicate an event? Not yet — this is a planned feature. For now, create a new event and use the same checklist template as a starting point.

Can I change the event type after creation? Yes. Go to Settings and update the type. Existing data is preserved; only templates and recommendations adjust.

Is there a limit on how many events I can create? There is no hard limit. Create as many events as you need.

Who can see my Draft events? Only you and any collaborators you have invited. Vendors and guests cannot see Draft events.
